PPT

PPT is the binary presentation format of Microsoft PowerPoint 97 to 2003. Many older decks, training materials and templates in company archives are still .ppt files, which current PowerPoint opens in compatibility mode.

PDF

PDF is a fixed-layout document format designed to preserve page appearance across devices and operating systems. It is widely used for reports, forms, manuals, invoices, and files intended for sharing or printing.

FILE FORMATS

PPT and PDF compared

SOURCE

PPT

PPT is PowerPoint's binary format from PowerPoint 97 to 2003. It stores slides, layouts, pictures, charts, speaker notes and embedded media in a single binary file. Current PowerPoint opens PPT in Compatibility Mode, and many shared drives still hold decks in this format.

TARGET

PDF

Adobe introduced the Portable Document Format in 1993, and it has been an open ISO standard since 2008. A PDF fixes text, fonts, images and vector graphics onto pages, so a document prints and displays exactly as intended on any device. It is the default for sharing, printing, signing and archiving.

USE CASES

Use Cases for PPT to PDF

Practical workflows where PPT to PDF conversion is useful.

logo

Share an old deck with anyone

A PDF opens in any browser or PDF reader, so nobody needs PowerPoint to read slides made in the 2000s.

logo

Archive legacy presentations

Keep training decks and board presentations from older archives as PDFs that stay readable without old software.

logo

Print handouts from an old deck

Each visible slide prints as its own page in the slide's own shape.

logo

Leave speaker notes out

Speaker notes are not printed, so the PDF shows only what the audience saw on the slides.

logo

Leave hidden slides out

Hidden slides are skipped, so old backup or draft slides stay out of the PDF.

logo

Upload to a portal that accepts only PDF

Course, grant and conference systems that ask for a PDF take the converted deck.

logo

Read old slides on a phone or tablet

Open the PDF in the phone's built-in viewer, without installing an office app.

logo

Quote from old slides

Text stays selectable, so figures and quotes can be copied from an old deck into a new report.

logo

Publish lecture slides

Teachers can post the slides of an old .ppt lecture as a PDF on a course page, where students view them in the browser.

logo

Sort through inherited decks

Page through a predecessor's .ppt files as PDFs to decide which ones are worth updating.

TROUBLESHOOTING

PDF Not Looking Right?

Most differences come from fonts and features the target format handles differently.

01

A font looks different

The document is laid out by LibreOffice, and fonts the server doesn't have are replaced with similar ones. Embed fonts in the original to avoid this.

02

It says the file is password-protected

Open the file, save a copy without a password and upload that copy.

03

It says the file is damaged

A cut-off or broken upload can't be read. Download or copy the original again.

04

Animations are gone

PDF is static, so animations and transitions aren't kept.

05

Embedded video doesn't play

Videos appear as a still picture in the PDF.

06

A chart or SmartArt looks different

Complex PowerPoint graphics can render slightly differently in LibreOffice.
