FILE FORMATS

PDF and XLSX compared

SOURCE

PDF

Adobe introduced the Portable Document Format in 1993, and it has been an open ISO standard since 2008. A PDF fixes text, fonts, images and vector graphics onto pages, so a document prints and displays exactly as intended on any device. It is the default for sharing, printing, signing and archiving.

TARGET

XLSX

Excel 2007 introduced XLSX, part of the Office Open XML standard. It holds multiple sheets with formulas, formatting, charts, tables and pivot tables, up to 1,048,576 rows and 16,384 columns per sheet, and it can't contain macros (that needs .xlsm). Excel, Google Sheets, Numbers and LibreOffice all open it.

SUPPORTED FILES

Which PDF Files Can I Convert?

PDFs with a real text layer work. Scanned PDFs don't.

Exported PDFs

PDFs saved from Excel, accounting software, banks and billing systems.

Statements and invoices

Documents with clear rows and columns convert best.

Multi-page PDFs

Tables spread across pages are read page by page.

Scanned PDFs

Not supported, because there is no OCR. They fail with a clear message.

A batch

Upload several PDFs and download the workbooks as a ZIP.

TROUBLESHOOTING

Spreadsheet Not Lining Up?

PDFs store positions, not tables, so some cleanup is normal.

01

Columns are shifted

Irregular tables and multi-column pages can shift. Expect some cleanup on complex layouts.

02

It says the PDF has no text

The PDF is scanned. Run OCR in a PDF tool first, then convert.

03

Charts are missing

Charts and images are dropped. Rebuild charts in Excel from the converted figures.

04

Totals don't have formulas

Values go into cells, but formulas aren't recreated. Add your own formulas afterwards.

05

Dates are text

Check date formats and decimal separators, especially for non-US documents.

06

Merged headers look split

Nested or merged headers may come out across several cells. Merge them again in Excel if needed.
